Exporting all your data and deleting your account

How to download an archive with all your data, what's in it, and how to delete a Cloud account with a cancellation period.

Everything is in Settings → Account and data.

Download all my data

Works both in the Cloud and on your own installation. Click "Build archive" — it's built in the background and you'll be notified when it's ready (in the Cloud also by email).

In the archive (ZIP): dashboard, finance (CSV and JSON), calendar and bookings, tasks, documents, files (decrypted), contacts and leads.

Never included: the account password, sessions, tokens, passkeys, integration keys.

The vault — only if you tick "Include the vault":

  • with end-to-end encryption it goes into the archive encrypted and opens with your master password;
  • without it, it goes in as plain text, so you'll see a warning and confirm first (Touch ID / Face ID or PIN).

Limits:

  • the archive is kept for 24 hours and can be downloaded once, then it's deleted;
  • the download link is valid for 10 minutes;
  • at most three exports a day (failed ones don't count), one at a time;
  • only the owner can export.

Moving somewhere else (from the Cloud to your own installation or back)? Upload this same archive on the new instance: Moving between the Cloud and your own installation.

Delete account (Cloud)

  1. Settings → Account and data → Delete account.
  2. Confirm with Touch ID / Face ID or the PIN and type your Rivo address.
  3. The account is deleted after 7 days. Until then a banner sits above every section, you get an email, and you can cancel with "Cancel deletion" in Settings → Account and data.

After deletion the subscription is closed, the address is released, and backups of the deleted account are kept for no longer than 63 days. Download the archive before deleting — the data can't be restored afterwards.

If deletion is temporarily unavailable, the screen will say so — write to [email protected].

Your own installation

The instance runs on your server: only you can delete the account and data — stop the installation and remove it together with its data volumes (the /opt/rivo directory, including deploy/data and backups).

What data we keep and for how long is described in the privacy policy.
